The Product Spec Sheet: Template & Guide for China Importers (2026)

In summary

A product spec sheet is the single document that tells your factory exactly what to make. This guide explains what to include, shows a worked template, and explains how missing specs cause QC failures and costly reorders.

Table of Contents

In short: A product spec sheet (or specification sheet) is the document that tells your manufacturer exactly what to produce — materials, dimensions, tolerances, packaging, and certifications. If it's incomplete, your factory fills the gaps with assumptions, and that's where most first-run quality problems start. This guide explains what a spec sheet needs, gives you a ready-to-use template, and shows how Epic Sourcing uses spec sheets to catch errors before production, not after.

What is a product spec sheet?

A spec sheet is a single-page (or short) document that defines every measurable detail of a product: dimensions, materials, weight, colour, finish, tolerances, packaging, and any certifications it must meet. Factories use it as the source of truth during production and quality control.

Without one, verbal instructions and back-and-forth emails become the "spec" — and those get lost, misremembered, or interpreted differently by different departments on the factory floor.

Why does a spec sheet matter when sourcing from China or Vietnam?

Language and measurement conventions differ, lead times are long, and a single factory may run your order across several departments or subcontractors. A written, numbers-based spec sheet removes ambiguity that a conversation or negotiation can't. It's also the document your QC inspector checks against during a pre-shipment inspection — no spec sheet means no clear pass/fail standard.

What should a spec sheet include?

At minimum, a solid spec sheet covers eight things. Here's a worked example for a simple product — a stainless steel water bottle:

FieldExample
Product Name500ml Insulated Water Bottle
Material18/8 food-grade stainless steel, BPA-free plastic lid
DimensionsHeight 24cm, Diameter 7cm (±2mm tolerance)
Weight280g ± 10g (empty)
ColourPantone 2965C (navy), matte powder coat
PackagingIndividual gift box, 24 units per carton, carton weight under 15kg
CertificationsFDA food contact compliance, LFGB (if selling in EU)
Tolerance / AQLAQL 2.5 for major defects, 4.0 for minor, per inspection

Every row on this table is something a factory can measure and a QC inspector can check — that's the test for whether a spec is specific enough. A metal finish like PVD plating is a good example of a spec that needs its own row rather than a vague "premium finish" note.

What happens if a spec sheet is incomplete?

Missing specs don't stop production — factories fill gaps with their default materials, their standard tolerances, or whatever they used on a previous similar order. Common results include:

  • Wrong colour shade because no Pantone or sample reference was given
  • Dimensions outside what you expected because no tolerance range was set
  • Packaging that doesn't survive freight because carton specs weren't defined
  • Failed certifications discovered only at the destination port

Every one of these is cheaper to fix on paper than in a finished container.

Do I need a different spec sheet for every product category?

The core fields stay the same, but some categories need extra rows — electronics need voltage and certification marks (FCC/UL for the USA, CE for Ireland, SASO/CoC for the UAE, SANS for South Africa, IMDA for Singapore); apparel needs size charts and fabric composition; food-contact items need material safety documentation. Start from the core template above and add category-specific rows as needed.

FAQ

Is a spec sheet the same as a product data sheet?

They're often used interchangeably. Both describe the measurable details of a product that a factory and QC team use as the standard.

Who should create the spec sheet — me or the factory?

You should set the specs that matter to your brand (materials, tolerances, packaging), and the factory can help confirm what's realistic to produce at your price point and MOQ.

Can I update a spec sheet mid-production?

Yes, but changes after production starts usually mean a new sample round and can affect your timeline and price — lock specs before placing the order where possible.

Does a spec sheet replace a sample?

No. A spec sheet defines the target; a physical sample confirms the factory can actually hit it. Use both before approving mass production.

What format should a spec sheet be in?

A simple table (spreadsheet or one-page PDF) works best — something the factory floor and your QC inspector can both reference quickly.
