How to Attend Canton Fair 2026: The Complete First-Timer's Guide
How to Attend Canton Fair 2026: The Complete First-Timer’s Guide
In summary: The China Import and Export Fair — known globally as Canton Fair — is the world’s largest trade show, held every spring and autumn in Guangzhou. This guide covers everything you need to know to attend in 2026: registration, visa requirements, what to expect on the floor, how to negotiate with suppliers, and how to make the most of your visit.
Why Canton Fair Matters in 2026
Even as global trade has shifted dramatically over the past several years, the Canton Fair remains the most concentrated sourcing event on the planet. For buyers looking to source directly from Chinese manufacturers, attend in person, compare products across dozens of competitors in a single afternoon, and build relationships that last — there is nothing else like it.
Spring 2026 Canton Fair dates: Phase 1 (1–5 April) | Phase 2 (15–19 April) | Phase 3 (23–27 April)
Step 1: Register as a Buyer
Buyer registration is free. Go to the official Canton Fair website at cantonfair.org.cn and create a buyer account. You will need a valid passport, a business email address, and your company details. After registration, you will receive a buyer badge that grants access to all exhibition halls during your registered phase.
Step 2: Plan Your Visa and Travel
Most nationalities require a Chinese tourist visa (L visa) to attend the Canton Fair. Apply through your nearest Chinese consulate or embassy at least 4–6 weeks before your travel date. Required documents typically include your passport, a completed visa application form, a recent passport photo, and your flight booking and hotel reservation.
Guangzhou is served by Guangzhou Baiyun International Airport (CAN). From the airport, take the metro directly to the Pazhou Complex station, which is directly adjacent to the Canton Fair exhibition halls.
Step 3: Book Accommodation Early
Canton Fair season is one of the busiest periods for Guangzhou hotels. Book at least 6 weeks in advance. Hotels directly adjacent to the Pazhou Complex fill up first. If you are staying further away, plan your metro or taxi route in advance.
Step 4: Download the Canton Fair App
The official Canton Fair app is your most important tool on the ground. It contains an interactive floor map, exhibitor database searchable by product and category, meeting booking functionality, and exhibitor contact details. Download it before you land and familiarise yourself with the exhibitor search before entering the halls.
Step 5: Plan Your Sourcing Priorities
The fair is enormous — trying to see everything is a mistake. Before you arrive, define your product categories, your target price range, your MOQ requirements, and any specific certification requirements. Use the exhibitor database to identify 20–30 priority booths and note their hall and booth numbers.
Step 6: Prepare Your Business Materials
- Business cards in both English and Chinese — Exchanging cards is a standard ritual in Chinese business culture. Cards with your name and title in Chinese characters signal that you take the relationship seriously.
- A standardised RFQ template — Carry printed copies. Handing a supplier a pre-filled specification form is far more effective than verbal descriptions.
- A notebook and portable charger — You will visit dozens of booths. Without systematic notes, everything blurs together by day two.
Step 7: Navigate the Show Floor
On arrival, collect your buyer badge from the registration desk. Security is thorough — allow extra time, especially on the first day when queues build. The halls are organised by product category. Shuttle buses run between halls because the complex is genuinely vast.
A good pace: spend 10–15 minutes at each booth on your first pass. Introduce yourself, view the products, collect the catalogue and business card, and move on. You can always return for a deeper conversation once you have covered your priority list.
Step 8: Have Effective Supplier Conversations
Ask directly: “Are you the factory or a trading company?” This matters significantly for pricing and customisation flexibility. Get the name and WeChat or WhatsApp contact of the person you speak with — not just the generic company card. Take photos of any products of interest.
Do not negotiate final prices at the fair. The fair is for discovery and relationship building. Serious price negotiation happens after the fair, once you have submitted a formal RFQ with your full specs and quantities.
Step 9: Follow Up Within 48 Hours
The suppliers who get serious follow-up within 48 hours are the ones who progress. Send a brief email referencing where you met, what products you discussed, and request a formal quotation based on your RFQ. Suppliers prioritise buyers who demonstrate clear intent and professionalism in follow-up.
