Step 1: Define Your Product Clearly Before You Contact Any Supplier
The single biggest mistake first-time importers make is approaching suppliers with vague product briefs. Before you reach out to a single factory, document the following:

- Ask for client references from buyers in your home market
Step 4: Request Samples
Never commit to a bulk order without reviewing a production sample. Request a sample that is manufactured using your exact specifications — not a stock display sample. Be prepared to pay for samples and shipping. Evaluate samples against your spec sheet in detail.
Step 5: Negotiate Terms
Negotiation is expected in Chinese business culture. The price quoted on Alibaba is not the final price. Key terms to negotiate include unit price, MOQ, payment terms, lead time, and packaging. Never reveal your target price at the start of negotiations.
Step 6: Place Your First Order

Step 7: Manage Quality Control
Do not wait until goods arrive to find out there are quality issues. Commission a pre-shipment inspection — ideally from a third-party quality inspection company — when approximately 80% of production is complete. This gives you time to correct issues before goods are packed and shipped.
Step 8: Manage Logistics and Import
Once goods pass quality inspection, they are ready to ship. Work with a licensed freight forwarder to arrange shipment. Understand your Incoterms (EXW, FOB, CIF). Ensure your freight forwarder handles customs clearance in your destination country.
