The China Import and Export Fair — better known as the Canton Fair — is the largest trade fair on the planet. Held twice a year in Guangzhou, China, it spans three phases across five weeks and brings together over 25,000 exhibitors and hundreds of thousands of international buyers from every corner of the globe.

Yet for first-time attendees, the Canton Fair can also be bewildering. The scale is enormous, the logistics are complex, and without a clear strategy, it is easy to spend several exhausting days covering enormous ground without achieving much of practical value.

This guide is designed to change that. Based on years of experience attending and supporting clients at the Canton Fair, Epic Sourcing has put together everything a global entrepreneur needs to know.

What Is the Canton Fair?

The Canton Fair has been running since 1957. It is held at the China Import and Export Fair Complex in Guangzhou — the largest exhibition complex in the world by gross floor area — and takes place in two sessions per year: spring (April/May) and autumn (October/November).

Each session is divided into three phases, with different product categories featured in each phase. Understanding this structure is essential for planning your attendance, because attending the wrong phase means missing the suppliers most relevant to your product category.

Is the Canton Fair Right for You?

The Canton Fair is ideal if you:

  • Are actively sourcing new product categories and want to see a wide range of suppliers in one place
  • Want to compare products, quality levels, and pricing across multiple manufacturers side by side
  • Are looking to establish new supplier relationships and prefer face-to-face meetings
  • Are a repeat importer looking to expand your supplier base or find alternatives to existing suppliers

The Canton Fair may not be right if you:

  • Are at a very early ideation stage and not yet committed to a specific product
  • Have highly specialised requirements better served by industry-specific trade fairs
  • Cannot travel to China — in which case a digital sourcing assistant is a better fit

How to Prepare for the Canton Fair

1. Register for Your Buyer Badge

All buyers must register for a Canton Fair buyer badge. Registration is free and done online at cantonfair.org.cn. You will need a valid passport and documentation confirming your business status. Register well in advance — queues at the venue registration desk are long.

Note: Citizens of many countries can now enter China visa-free for up to 30 days. Always check current entry requirements with the Chinese consulate before making travel plans.

2. Know Your Product Categories and Target Halls

The Canton Fair website allows you to search exhibitors by product category, company name, and hall location. Create a prioritised hit list of suppliers to visit. The venue spans Hall 1 through Hall 16 plus multiple annexe buildings. Realistic maximum coverage per day is around 80–120 booths.

3. Prepare Your Business Documents

  • A generous supply of business cards — ideally with Chinese text on the reverse
  • A clear product brief or specification sheet for each product you are seeking
  • A brief company profile — who you are, your annual purchasing volume, and key markets

4. Arrange Accommodation Early

Guangzhou hotels near the Pazhou Complex fill up six to twelve months in advance. Prices during the fair are three to five times higher than normal. Book as early as possible. The Guangzhou Metro Line 8 runs directly to Pazhou station adjacent to the main venue.

5. Download the Canton Fair App

The official app allows you to search exhibitors, build a schedule, and navigate the venue. Download it before you leave home.

What to Expect on the Floor

The Scale Is Genuinely Overwhelming

The complex covers over 1.1 million square metres of exhibition space. Even experienced buyers rarely cover more than 10–15% of relevant exhibitors in their target categories in a single visit. Focus on depth over breadth — five high-quality conversations beat fifty superficial ones.

How to Approach Supplier Conversations

  • Start with a specific question about a specific product, not a general catalogue inquiry
  • Show your product brief or sample if you have one
  • Ask directly about MOQ, lead time, and pricing
  • Ask if they are the factory or a trading company
  • Take photos of products you are interested in, noting the booth number alongside each photo

Pace Yourself

Most serious buyers walk 15,000–25,000 steps per day. Wear comfortable footwear. Bring a portable battery pack. Days two and three are typically the most productive, once you have oriented yourself but before fatigue sets in.

After the Fair: Turning Connections Into Orders

In the week following your visit:

  • Organise and prioritise your leads
  • Request formal quotations from shortlisted suppliers, referencing your product spec and agreed MOQ
  • Request samples before committing to any production order
  • Conduct due diligence — verify business licences, check references, consider a factory audit

Build a simple CRM or tracking spreadsheet for your Canton Fair leads — buyers who lose follow-up momentum rarely convert introductions into orders.

Essential Practical Tips

  • Mobile data: A Chinese SIM card or international roaming plan is essential. Install WeChat before you leave.
  • Currency: Alipay and WeChat Pay dominate. Bring some RMB cash for transport and food.
  • Photography: Always ask before photographing at a booth.
  • Timing: Arrive early — the first two hours after 9am are notably less crowded than mid-afternoon.
  • Health: Guangzhou in April and October is warm and humid. Light, breathable clothing and comfortable walking shoes are the uniform.
  • Scams: Be cautious of individuals approaching you outside the fair claiming to represent factories. Off-venue pitches warrant extra scrutiny.

Final Thoughts

The Canton Fair is one of the most powerful tools available to anyone building a product-based business. In five days, you can do what would otherwise take months of remote research — see hundreds of products in person, meet dozens of manufacturers, and come away with a clear picture of what is possible in your product category.

Come with a plan, focus on your priorities, and follow up methodically when you get home.
